Plan of Execution for Perfect Holiday Parties

by DoItYourself Staff

Planning Holiday parties can be a major project if large numbers of guests are invited. It can almost be comparable to planning a wedding, which, in some schools of thought, is one of the five most stressful things a person will ever do. Party planning should be a considered, step-by-step, well timed operation. To get the very best from your party experience, you should plan it to the letter and have a good strategy.

Lists and More Lists

Start with a basic list. Write down how many guests you are inviting, including people they will bring. Account for around 20% failing to respond to the R.S.V.P, so, out of say 100 people who should attend, you may only get 80. Write a list of how many invitations you will need, what style they will be. Make a budget for postage costs, food and drinks costs and sundries, like paper napkins, paper plates, plastic cutlery, etc. Other lists will include flowers, decorations, balloons or Christmas tree. Perhaps you might be ordering a rent-a-Santa for children who are attending too. Write down all the components for your party that you will need.

Timing is Everything

A well timed party can work to perfection. If you have people catering the food, you will need to be on top of what time they are arriving with everything. If you have people setting up the decorations, whether paid or volunteer friends, you will need to co-ordinate what time they arrive to begin the process. If you are having a disc jockey you will need to make sure someone is there on the premises, unless it is from your home.  Have a strategy for what happens during the morning, afternoon and early evening, so that you are not short of time for anything. Remember to give yourself time to get ready too.

Seating Arrangements

Decide whether you are having a sit down dinner with tables or whether your party will be buffet style. You may need to rent tables, if you are using a large hall. If you decide on a sit down dinner, you will need place names and table arrangements but that also depends on how formal your party is going to be.

Finalizing

Make your final list. This list should consist of a timetable, starting from the time you get up. It should state what time each component of the party will happen in order for the whole thing to come together. Make sure you tick off everything as it correctly occurs so that nothing gets missed. This is the ideal form of planning a party, but again it all depends on how formal you intend your party to be. Even if your party is informal, you will still have some of these elements to deal with. You will want decorations and unless you are putting those up by yourself, you can bring in friends and family to help. Parties do not have to be expensive, so keep your budget as reasonable as possible and stay within it.
