Adobe InCopy CS2 - How to Check Out and Edit a Story Inside InCopy
Video Transcript
Now, to edit a story inside of InCopy, first, I have to check it out. To do that, I could come here to my Toolbar and select my Type tool, insert my Type tool into the story that I want to edit then go to the File menu and choose File check out.
That is one way to check a story out. Another way which I think is even easier is just to insert your cursor into the story and start typing or editing. As soon as you do that, you got a dialog box that says you must check out the contents of this frame in order to make changes. Check out now and of course, you do not want to say, "Yes."
This is an easy way without worrying about menu commands and keyboard short cuts to check out a story. Just insert the type tool, and start editing or writing, click "Yes" and now I can edit the story how ever I like but there is one problem.
For me to edit the overset texture maybe trim up those extra couple of lines, I would like to see that text but as you can see here it looks just like a dozen InDesign and obviously it is going to be very difficult to edit texts that I cannot see.
To get around that, we would look at the top of our document window here and notice that we are in the layout view. This is where the layout looks just like a dozen InDesign but we have two other options, those are the galley view and the story view.
Let us take a quick look at the galley view and here we can see that the galley is showing us accurate line breaks given the column width that we are dealing with. The other option where you will spend most of your time is in the story view.
Let us scroll up here and inside the story you will notice this horizontal line right here with a little indicator just copy fit. So, this horizontal gray line shows us exactly where this text is overset and on the left hand side you will see that red vertical bar that indicates that, that text is overset and it is not accurate copy fit.
To edit this text, so the story fits inside the allocated space on the page, we need to start by deleting some texts then we will make a few more edits over here. We will delete the rest of the sentence and now we will take a look at the bottom of our screen where we see instead of that red bar, we see a green bar indicating that we are copy fit. That means that there are copy fits the allocated space inside the layout.
So, speaking of so let us switch over to the layout view and looked at the bottom of the document and see that our text fits perfectly. That is a beautiful thing.
Now, before we are done here and before we save that edit, let us do another quick switch back to InDesign so ALT TAB on Windows and command tab on the MAC.
The first thing that you will notice here is that on the story, the same one we are editing back inside of InCopy, we have the small badges. These little graphic emblems on the text frame that we are working on InCopy and what we see here is a pencil with a line through. That pencil with a line through it indicates that this story is checked out by somebody else.
As you can see here in my tool tip which appears when I hover my cursor over that text frame, the tool tip that pops up shows me not only that the story is currently being edited but it even shows me who is editing it.
Let us switch back to InCopy one more time, just a few more hops and now before we are done, let us go ahead and save this story that is saved the edit that we have made in InCopy by going into the file menu and choosing save content. That is going to save this content back into the production work flow and just to see what is happening here between the two applications, we will switch back to one more time, ALT TAB on Windows, command tab on the MAC.
Now, you will notice that the icon is changed from just a pencil with a slash through it to a pencil with a slash through it and the yellow yield sign and that yellow indicator reveals to us that the story is not only check out by somebody else but it is also been saved and that means that our layout here in InDesign is not quite up-to-date.
To update the layout here in InDesign, we can just righ
