How to Set Different Editing Views of MS PowerPoint 2007 Presentation
Video Transcript
When you are first to open a PowerPoint file, it opens in normal editing view which is what you see here. You have a main slide work space, right here, and you will see a pane on the left that shows the individual slide in the file. This is the slides thumbnail pane. You can click and drag on slides in the thumbnail pane to move them around and change their order or if necessary you can actually switch to what is called slide sorter view. You can use this button over here. In slide sorter view, you can see all of your slides together and again, you can just click and drag to move them around.
If you want to select more than one slide, you can press the control button and this will let you choose slides that are not next to each other. Or you can press the shift button and choose the first slide that you want to choose and the last slide and then that will select a section of slides and then you can click and drag those all together. And I am going to put them back so we are not quite so far out of order. Click this button to get back to normal view, where you can also work in the outline pane. You can select slides by clicking on the text in the outline pane. And you can select the little slide thumbnails in the outline pane to move your slide as well. Just click and drag to move your slides.
You can click the slide show icon in the status bar to start a presentation and that runs to presentation full screen. Press escape to close out of the presentation and drop back into normal editing view. You can also press F5 on your keyboard to begin a presentation from the first slide. So I am pressing F5, and you can see that it begun my presentation from the title slide which is number one the first slide. I am going to press escape again to close out of presentation view. Now, if I am further down here in my slides, if I have a different slide selected and I want to begin my presentation from a different slide not from the first slide, I can press shift F5. And that begins my presentation from whatever slide I have selected. And again, I will press escape to drop back into normal editing view.
This little bar down here at the right is actually called the status bar and if you click on the percentage, you can increase your zoom here by whatever you want to type in. So let us say we will make it 50% and press enter or press okay and you can see that the view decreased. You can also use the slider to increase and decrease the view or you can click this button to fit the slide in to current editing window. You can also use the tools on the View tab to switch back and forth between presentations if you have more than one open. So right here, new window, arrange all, cascade, if you have more than one presentation window open, you can use those to arrange your view so that you can work more easily. You can also use this zoom tool instead of the one on the status bar if you prefer.
Do you see where it says click to add notes at the bottom of your editing window? This is where you can add notes for your speaker, just click and type. In this chapter we have reviewed navigating the ribbon, customizing your quick access toolbar, the office button, PowerPoint options and various views. I hope this helps making more comfortable with the new interface.
